Where the AI Chat Agent sits
AI Chat Agent
Understands the request, checks real data, acts within defined limits.
Create booking
Written to the EHR / scheduling system directly.
Reception team
Medical questions, complaints, anything outside scope.
Final price depends primarily on integration and workflow complexity — not on how impressive we can make the AI sound.
Most clinic chatbots are very good at answering the five questions somebody typed into their knowledge base.
Then the patient asks:
"Can I do the test tomorrow morning with Dr. Cohen, and do I need to fast?"
And suddenly we discover that answering patients is not really a chatbot problem.
It is an EHR + scheduling + clinic workflow problem.
Our AI Chat Agent connects to the information your clinic actually works with: services, prices, preparation instructions, doctors, branches and available appointment slots. It can answer routine patient questions, find suitable appointments, book, reschedule or cancel them, send approved materials and hand the conversation to a real person when it reaches something the AI should not handle.
The idea is not to make a chatbot that sounds human. The idea is to remove a large amount of repetitive reception work without creating a new source of chaos.
What does it actually do?
The agent can work across the messaging channels your patients already use, including WhatsApp, Telegram, Instagram Direct, Facebook Messenger and other supported communication systems.
Instead of maintaining a separate little chatbot database that becomes outdated two weeks later, we normally connect it to the clinic's operational information, including services and procedures, prices, duration, preparation instructions, which doctors provide each service, branches and locations, schedules, and actual available appointment slots.
So when a patient asks about an appointment, the AI does not just answer "please contact reception to arrange a convenient time" — because congratulations, we have just invented a chatbot whose main function is telling people to call reception. It can actually help.
What can it handle?
Typical administrative conversations include questions such as "How much does an ultrasound cost?", "Does Dr. Levi perform this procedure?", "Do you have anything after 5 p.m.?", "Can you move my appointment from Tuesday to Thursday?", and "Please send me the preparation instructions again."
The agent can answer the question, collect the information needed for booking, find an appropriate slot and create the appointment directly in the connected system. It can also reschedule and cancel appointments, send approved clinic materials, and escalate the conversation to reception when necessary.

What doesn't it do?
This part is more important than the list of things it does.
If the patient says "I have these symptoms. Which service should I book?" the AI does not quietly turn itself into a doctor. If the patient asks for treatment advice, interpretation of medical results, or starts discussing a complaint about medical care, the conversation moves outside the agent's permitted administrative scope and should be escalated.
Our policy: never automate chaos
This is one of our basic implementation rules.
First fix the flow. Then automate it.
AI does not magically repair a broken clinic process. If your service descriptions are missing, appointment durations are wrong, three branches use different booking rules, reception has five unofficial workarounds, and preparation instructions live in a PDF somebody emailed in 2021, automating that process will not make it good.
It will make the bad process faster.
That is why we do not start implementation with "connect the model and see what happens." We first look at the actual flow and decide what needs to be cleaned up, standardized or clarified before automation makes sense.
Not sure if your booking process is even ready to automate?
Let's look at it together →How implementation works
1. Get the clinic data into shape. We check that the required service, doctor, schedule and operational information actually exists and is usable.
2. Learn how your clinic talks to patients. We use real historical conversations to understand what patients actually ask. For this solution we normally want at least 500 real dialogs for training and analysis — not because the AI needs to memorize them, but because we need to understand your reality.
3. Define the rules. What tone should it use? When can it book immediately? What information can it send? What should instantly escalate?
4. Let it work under supervision. We don't move directly from a slide deck to "here are all our patients." The agent starts on part of the incoming flow with human supervision — we watch what happens, find the weird cases, adjust the rules and expand gradually.

Will it replace receptionists?
No.
It can take a large amount of repetitive work away from them, and in some clinics that can absolutely mean you need fewer reception staff. But there will still be patients who need a person, unusual cases, complaints, broken integrations, medical questions, exceptions and all the other things real clinics produce every day.
AI usually replaces tasks before it replaces people.
The first goal is simpler: make reception stop doing work a machine can do perfectly well.
